AI & Automation for Medical Practices

We help medical practices use AI and automation to reduce repetitive administration, improve workflows and create a better experience for patients and staff.

AI & AUTOMATION

Smarter Technology for Medical Practices

Much of a practice day goes on work that follows the same steps every time: re-keying forms, chasing paperwork, sorting the inbox, sending the same messages and building the same reports. AI and automation can take that load off your team, so more of the day goes to patients.

Built on What You Already Have

Microsoft 365, Power Automate and Power Apps cover most day-to-day workflows. Where they run out, we write custom tools and integrations in Python and FastAPI, and build AI assistants and agents on Claude, connected to your systems through secure, permissioned interfaces such as the Model Context Protocol (MCP).

A Person Stays in Charge

AI prepares, sorts, drafts and flags, and your staff review and decide. We do not build tools that make clinical decisions. Patient information is handled in line with the Australian Privacy Principles, and access is limited to what each workflow needs.

From the Team That Runs Your IT

It comes from the same team that already looks after practice networks, cloud and cybersecurity, so new automation fits the environment you have and is supported after it goes live.

AI-Assisted Practice Workflows

AI that prepares the work and leaves the decision to your staff: summarising long documents, drafting routine letters and replies, and flagging what needs attention first.

Administrative Task Automation

Repetitive jobs such as data entry, file handling, approvals, reminders and end-of-day routines run on their own, with a clear record of what was done.

Intelligent Digital Forms

New-patient, consent and pre-appointment forms that adapt to the answers given, check details as they are entered and arrive as structured data rather than a scan to re-type.

Patient Screening and Eligibility

Administrative pre-checks before a booking is confirmed: is the referral attached, are the details complete, does the request fit the service. Staff see the result and make the call.

How It Runs

1. Discover: we sit with your team, map the workflows that cost the most time and rank them by effort saved against risk.

2. Design: we agree what is automated and what stays with a person, where data lives, who can access it and how results are checked.

3. Build and pilot: we build a working version and pilot it with a small group on real work, adjusting until staff trust it.

4. Roll out: staff training, written procedures and a handover, then go-live across the practice.

5. Support and improve: monitoring, fixes and changes as your systems and needs change, from the same help desk as the rest of your IT.

Automated Patient Communications

Confirmations, reminders, recalls, preparation instructions and follow-ups sent at the right time by SMS or email, in your wording, with replies routed to the right person.

Power Automate and Power Apps

Workflows and simple apps built on the Microsoft 365 licences most practices already pay for: leave and roster requests, incident and maintenance logs, onboarding checklists, stock and asset registers.

Custom AI Tools and Agents

Purpose-built assistants and agents on Claude, given only the tools and data each task needs through MCP, with logging so you can see what they did and why.

API and System Integrations

Connecting practice software, booking, payments, forms and Microsoft 365 so information moves without re-keying. We use vendor APIs and healthcare standards such as HL7 and FHIR where your systems support them.

Designed for the Way a Practice Works

Before anything is automated we help with AI readiness and governance: an AI use policy, staff training, a privacy and security review of the AI tools the practice is considering (including AI scribes and Microsoft 365 Copilot), and the permission clean-up that should come first. Then we build the tools that make a difference day to day:

Reporting and Workflow Dashboards

One view of what matters to the practice manager: outstanding tasks, turnaround times, form completion, message delivery and workload, refreshed automatically.

Document and Inbox Triage

Incoming letters, referrals, scans and shared-mailbox email sorted, named, summarised and sent to the right queue for a person to review, instead of piling up in one inbox.

Staff Knowledge Assistants

A private assistant that answers staff questions from your own policies, procedures and how-to guides in SharePoint, and shows the source for every answer.

Q: Is it safe to use AI with patient information?

A: It can be, if it is designed for it. We start with where the data goes: which service processes it, where that service is hosted, whether it is kept or used for training, and who can see the result. We prefer services inside your own Microsoft 365 tenancy or under enterprise terms that rule out training on your data, keep access to the minimum each workflow needs, and leave identifiable patient details out altogether wherever the task allows.

Q: Will AI be making clinical decisions?

A: No. We automate administration and preparation: sorting, drafting, checking completeness, reminding and reporting. Clinical judgement stays with clinicians, and every workflow has a point where a person reviews the result.

Q: Does it work with our practice management software?

A: It depends on what your software vendor supports. Some products offer APIs or approved integration partners, others offer exports or database access under conditions, and some offer very little. We check what is supported for your product and version before proposing anything, and we do not use unsupported methods that could put your data or your vendor support at risk.

Q: Do we need new software or licences?

A: Often not. Many practices already hold Microsoft 365 licences that include Power Automate and Power Apps for standard use. Premium connectors, AI usage and SMS are usually charged by use; we set out any running costs before work starts.

Q: What does a first project look like?

A: Small. We pick one workflow with a clear pay-off, such as new-patient forms or inbox triage, deliver it in weeks rather than months, measure the time saved, and use that to decide what comes next.
